6. 1st Principle -"Seiri" -Proper Arrangement:

· Location of the back-office support functions at the branch in a place which is away from customers so that the work of the division is not hampered by the customers visiting the other divisions to get their work done.

· Administrative Offices should be located in a spacious building.

· The staff and executives should have good furniture, sufficient working space with proper lighting that would help improve productivity.

· The Superior authority and the staff working in his division should be organizes side by side so that any discussions and references within the division could be done with lowest movement—thereby reducing the time involved and improve effectiveness.

· While starting different divisions of administrative office, proper care should be taken to group activities of 1 category at the identical building. For example, all activities relating to corporate clients like credit, treasury and investment functions should be housed in the identical premises. If different divisions of an administrative office is located in different floors in the identical premises, a Signage giving details of different divisions and the floor in which they are located should be placed in the ground floor near to the lift.

Second Principle -"Seiton" –Orderliness:

The point regarding files provided in the front office equally applies here as well.

Like in front-office, in back-office also all papers and files should have a proper storage place and it must be ensured that it is kept in the place identified for it.

While dealing with branches follow ABC principle and classify the problems on the basis of importance.

Have a tracking mechanism like ticklers, reminders on computers for things which require compliance confirmation from the branches.

Third Principle -"Seiso" –Cleanliness:

Provision of sufficient dust bins for the use of internal staff.

Ensure that all tables and systems are kept clean.

Fourth Principle -"Seiketsu" -Clean up:

Ensure that the branch is cleaned up daily at lowest once if not twice. Do not take up cleaning during the business hours. Arrangements to be made for sweeping and swiping before the commencement of business hours.

Every employee irrespective of his grade should own up for the cleanliness of his work place. By this what we mean is that during the day time he should ensure its neatness by not throwing things here and there and dusting the work place by himself.
