Collaboration
Collaboration should be inherent in an EDMS. Documents should be capable of being retrieved by an authorized user and worked on. Access should be blocked to other users while work is being performed on the document.
Versioning
Versioning is a process by which documents are checked in or out of the document management system, allowing users to retrieve previous versions and to continue on work from a opted point. Versioning is useful for documents that change over time and require updating, but it may be necessary to go back to a previous copy.
Publishing
Publishing a document is sometime tedious and involves the procedures of proofreading, peer or public reviewing, authorizing, printing and approving etc. Those steps endure prudence and logic thinking. Any careless handling may outcome in the inaccuracy of the document and therefore misleading or upset its users and learners. In legal regulations regulated industries, a few of the procedures have to be completed with the evidences of their corresponding signatures and the dates on which the document is signed. Web Content Management (including full webapp & session virtualization)
A Web content management system (WCMS or Web CMS) is content management system (CMS) software, usually implemented as a Web application, for creating and managing HTML content. It is used to manage and control a large, dynamic collection of Web material (HTML documents and their associated images). A WCMS facilitates content creation, content control, editing, and many essential Web maintenance functions.
Usually the software provides authoring (and other) tools designed to allow users with little or no knowledge of programming languages or markup languages to create and manage content with relative ease of use.
Most systems use a database to store content, metadata, and/or artifacts that might be needed by the system. Content is frequently, but not universally, stored as XML, to facilitate reuse and enable flexible presentation choices.[1][2]
A presentation layer displays the content to regular Web-site visitors based on a set of templates. The templates are sometimes XSLT files.[3]
Administration is typically done through browser-based interfaces, but a few systems require the use of a fat client.
• Unlike Web-site builders like Microsoft FrontPage or Adobe Dreamweaver, a WCMS allows non-technical users to make modifications to an existing website with little or no training. A WCMS typically requires an experienced coder to set up and add features, but is primarily a Web-site maintenance tool for non-technical administrators.
